Terms & Conditions
Effective May 1, 2026 · Last Updated: May 7, 2026
These terms govern your use of our website and the professional relationship between you and Butterfly Soiree. They are written to be clear, fair, and protective of both parties — so your wedding journey begins on solid ground.
01
About these terms
These Terms & Conditions (“Terms”) apply to all visitors to the Butterfly Soiree website at butterflysoiree.com and to all clients who engage Butterfly Soiree for wedding planning, design, or coordination services.
Butterfly Soiree is owned and operated by Selina Garcia, a sole proprietor based in San Diego, California. References to “Butterfly Soiree,” “we,” “us,” or “our” throughout these Terms refer to Selina Garcia operating as Butterfly Soiree.
By using this website or signing a service agreement with us, you confirm that you have read, understood, and agree to these Terms. If you do not agree, please do not use our website or engage our services.
02
Our services
Butterfly Soiree offers professional wedding planning and design services to couples in San Diego County and select destination locations. Our services include but are not limited to:
- Full-service wedding planning — comprehensive planning from engagement through wedding day, including vendor sourcing, timeline management, design direction, and on-site coordination.
- Partial planning — targeted support for couples who have begun planning and need professional guidance to bring it together.
- Day-of coordination — professional on-site management on your wedding day to ensure your vision is executed flawlessly.
- Design consultation — aesthetic direction, mood board development, and vendor alignment for couples seeking design guidance.
The specific scope of services for each client is defined in a separate, signed Service Agreement. In the event of any conflict between these Terms and a signed Service Agreement, the Service Agreement shall prevail.
03
Booking & agreement
Engaging Butterfly Soiree for services involves the following process:
- Initial inquiry — submit an inquiry via our website or contact us directly. An initial consultation will be scheduled to discuss your vision and determine whether we are a good fit.
- Proposal & Service Agreement — if we proceed, you will receive a written Service Agreement detailing the scope of work, timeline, and fees. No services commence until this agreement is signed by both parties.
- Retainer payment — a non-refundable retainer is required upon signing to secure your date. The amount will be specified in your Service Agreement. Your wedding date is not held until the retainer is received.
- Confirmation — once both signatures and the retainer are received, your booking is confirmed and your date is reserved exclusively for you.
Your date is not reserved until both the signed agreement and retainer are received. Butterfly Soiree reserves the right to accept other inquiries for your date until this is complete.
04
Payment & fees
Payment terms for all services are outlined in your individual Service Agreement. The following general terms apply:
- Retainer — a non-refundable retainer is due upon signing your Service Agreement. This fee compensates Butterfly Soiree for reserving your date and beginning preliminary planning work.
- Payment schedule — remaining fees are typically split into installments as defined in your Service Agreement. Exact amounts and due dates will be clearly stated.
- Late payments — payments not received within 7 days of the due date may result in a pause of services. Payments more than 14 days overdue may result in cancellation of the agreement, with no refund of amounts already paid.
- Accepted payment methods — accepted forms of payment will be specified in your Service Agreement.
- Price changes — quoted pricing is valid for 30 days from the date of proposal. Butterfly Soiree reserves the right to adjust pricing for services booked after this period.
All fees are quoted in US dollars. Clients are responsible for any applicable taxes.
05
Cancellation & rescheduling
We understand that circumstances can change. The following policies apply in the event of a cancellation or date change:
- Client cancellation — if you cancel your event or engagement with Butterfly Soiree, the non-refundable retainer is forfeited in all circumstances. Additional fees already paid may be partially refunded depending on the notice given and work completed at the time of cancellation, as outlined in your Service Agreement.
- Date changes — if you wish to reschedule your wedding date, we will make every effort to accommodate the new date subject to availability. If Butterfly Soiree is unavailable for your new date, the cancellation policy applies.
- Cancellation by Butterfly Soiree — in the unlikely event that we must cancel due to unforeseen circumstances (such as a medical emergency), we will provide as much notice as possible, assist in sourcing a replacement planner, and refund fees paid for services not yet rendered, excluding the retainer.
- Force majeure — neither party shall be held liable for failure to perform due to circumstances beyond reasonable control, including natural disasters, government restrictions, or public health emergencies. In such cases, rescheduling will be prioritized over cancellation wherever possible.
All cancellation requests must be submitted in writing via email to info@butterflysoiree.com. Verbal notice does not constitute cancellation.
06
Client responsibilities
A successful wedding relies on a strong partnership. As a client of Butterfly Soiree, you agree to:
- Timely communication — respond to requests, approve proposals, and provide decisions within agreed timeframes. Delays in client communication may impact the planning timeline and vendor availability.
- Accurate information — provide accurate and complete information regarding your event, guest count, budget, and preferences. Changes that significantly impact scope may require a Service Agreement amendment.
- Budget adherence — communicate your realistic budget clearly and honor it throughout the planning process. Butterfly Soiree will plan within the parameters you set, but cannot be responsible for costs that arise from client-directed changes that exceed the agreed budget.
- Respectful conduct — treat all Butterfly Soiree staff and vendor partners with professionalism and respect. We reserve the right to terminate a Service Agreement if a client engages in abusive, threatening, or disrespectful behavior, with no refund of fees paid.
- Final approvals — all vendor contracts, design selections, and major decisions require your written approval. Butterfly Soiree acts in an advisory and coordinating capacity; final decisions rest with you as the client.
07
Third-party vendors
Butterfly Soiree works with a curated network of trusted vendors including venues, photographers, caterers, florists, and more. The following applies to all third-party vendor relationships:
- Independent contractors — all vendors are independent contractors with their own agreements, pricing, and policies. Butterfly Soiree is not a party to vendor contracts and is not responsible for vendor performance, quality, or failure to deliver.
- Recommendations — vendor recommendations are made in good faith based on experience and reputation. We cannot guarantee the outcome of any vendor’s services.
- Vendor contracts — you are responsible for reviewing, signing, and fulfilling the terms of all vendor contracts. Butterfly Soiree will coordinate on your behalf but does not assume financial or legal responsibility for third-party agreements.
- Vendor substitutions — if a vendor becomes unavailable, Butterfly Soiree will make reasonable efforts to source a suitable replacement. We cannot guarantee an exact equivalent in style, availability, or pricing.
08

Limitation of liability
Butterfly Soiree provides professional services with care, skill, and dedication. However, the following limitations apply:
- No guarantee of outcomes — while we strive to bring your vision to life, we cannot guarantee specific results, as weddings involve numerous independent parties and variables outside our control.
- Maximum liability — in the event of a claim arising from our services, Butterfly Soiree’s total liability shall not exceed the total fees paid by you under your Service Agreement.
- Indirect damages — Butterfly Soiree is not liable for any indirect, incidental, or consequential damages, including emotional distress, loss of enjoyment, or costs incurred due to third-party vendor failures.
- Insurance — clients are strongly encouraged to obtain wedding insurance to protect against unforeseen cancellations, vendor failures, and other events outside anyone’s control.
We highly recommend purchasing wedding event insurance prior to signing any vendor contracts. This protects your investment in the event of vendor bankruptcy, illness, extreme weather, or other unforeseen circumstances.
11
Governing law
These Terms and any Service Agreement between you and Butterfly Soiree shall be governed by and construed in accordance with the laws of the State of California, without regard to its conflict of law provisions.
Any disputes arising from these Terms or our services that cannot be resolved amicably shall be subject to the exclusive jurisdiction of the courts located in San Diego County, California.
If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
